Open a shared calendar in Outlook
Use this guide after someone has shared a Microsoft 365 work calendar with you, or after 2Fifteen Tech confirms that your calendar access has been granted.
Accept the sharing invitation
- Open Outlook using the work account that received the invitation.
- Find the calendar-sharing email from the owner. Select Accept or Accept and view calendar.
- Open Calendar in Outlook. Expand the calendar list and select the shared calendar so it is displayed.
If you have several Microsoft accounts, try these steps in Outlook on the web first, signed in with the invited work account.
If you cannot find the calendar
New Outlook for Windows or Outlook on the web
In Calendar, select Add calendar > Add from directory. If asked, select your work account, then search for the calendar owner's name or email and add the calendar. Also check Show all and People's calendars in the calendar list.
Classic Outlook for Windows
Accept the sharing invitation, then check your calendar list. If no invitation is available, ask the owner or 2Fifteen Tech to resend it.
Outlook for Mac
Start by accepting the invitation. If your version has File > Open > Other User's Folder, select it, choose Calendar, search for the owner, and select Open. Menu names vary by version. If that option is missing, check the calendar in Outlook on the web and contact us with your Outlook version.
Adding a calendar from the directory does not grant extra permission. You may see only availability until the owner grants more access.
Understand your access
- View access: You can see the information the owner has allowed, such as availability or event details.
- Edit access: You can add or change calendar items.
- Delegate access: You can also handle meeting requests on the owner's behalf, depending on the settings.
If you need to create an event on the shared calendar, select that calendar when creating the event. An event created on your own calendar stays on your calendar unless you change its destination.
If it still does not work
Contact 2Fifteen Tech support with your work email, the calendar owner's email or shared-calendar name, whether you need to view or edit, and the exact error. Tell us whether it works in Outlook on the web and whether you use Mac, new Outlook, or classic Outlook. Crop screenshots to the error so private appointments are not included.
