Open a shared SharePoint file with the right account

Updated by 2Fifteen Tech

If a SharePoint or OneDrive link says Access denied, You need permission, or that your account is not in the organization, first check which account the file was shared with.

1. Confirm the invited email address

Check the original sharing email, or ask the sender which address they invited. A link shared with one work email may not work with a personal account, another company account, or a different email alias.

  1. Open the original invitation or file link in a browser profile you use for the invited account.
  2. Check the account shown in the page's profile menu. If it is wrong, use Use another account when offered, or switch to the correct browser profile.
  3. If the browser keeps selecting the wrong account, try the original link in a private or incognito window and sign in with the invited email. Some managed sign-in policies may require your normal work browser instead.
  4. Follow the verification prompts. If Microsoft sends a one-time code to the invited email, retrieve it from that mailbox and enter it on the sharing page.

You should be able to open the file with the level of access the owner assigned. Signing in with a different account does not transfer permissions.

  • People with existing access: The link points to the item but does not grant anyone new permission.
  • People in the organization: This type of link may not work for an outside partner.
  • People you choose / Specific people: Use the address the sender included.

If you received a forwarded link, ask the file owner to share directly with your work email. If you can view but need to edit, request edit access separately. Some sharing options may be restricted by the organization.

4. Request access if needed

If the page offers Request access, include a short explanation of what you need. Otherwise, contact the person who shared the file. Access still needs the owner's or organization's approval.

If the file opens online but is missing in Finder or File Explorer, see OneDrive is not syncing on your computer.

Send us the details

Contact 2Fifteen Tech support with the file link, the email address that was invited, the account you are using, the exact error, and whether you need view or edit access. Include whether the link works in another browser profile. Send the link privately to support rather than posting it publicly.
